Name the task and audience
Start with a concrete action. Ask for an outline, a shorter paragraph, or questions a reader might have. Then identify the audience and purpose. A note for a new customer needs different background from an update for a colleague who already knows the project.
Provide relevant source material and mark it clearly. Explain which facts must be preserved. Do not assume an AI response has checked a statement just because the wording sounds confident. If the source is incomplete, ask the assistant to identify missing information rather than invent it.
Set practical boundaries
Include a target length, a suitable tone, and the format you need. An example request is: "Rewrite this project update for a new teammate in about one hundred words. Keep the dates and responsibilities unchanged. List any unclear details separately." Replace those constraints with ones that match your document.
Use only material you are entitled to share. Remove unnecessary personal details before submitting a prompt. Requested AI actions can send relevant writing to third-party services; consult the Privacy Policy before using sensitive content.
Refine the instruction
Read the response against the task you set. If it is too broad, narrow the scope. If it changes your meaning, point to the affected sentence and state the intended meaning. Revise one instruction at a time so you can understand the difference.
A clear prompt improves your ability to evaluate a response, but it does not guarantee accuracy or originality. Follow with a review of the AI-assisted draft before publishing.
